Storage Software for Removals: Containers, Boxes and the Gap in the Middle

Summary answer: self storage platforms manage units rented to customers who hold their own key. Removals firms manage containers holding other people's belongings, in a racked warehouse, sometimes for years, with the operator legally responsible for every item inside. Those are different problems and most software solves only the first. The dividing question is whether you need to know which box a specific item is in. If you do, you need container level and box level tracking, and the field narrows very quickly.

Two operations that sound like one

Self storage. A customer rents a unit, holds a code, comes and goes. You need online booking, dynamic pricing, access control and recurring billing. The commercial risk is empty units and unpaid accounts.

Containerised storage. A customer's belongings are packed into containers, racked in your warehouse, and released weeks or years later. The customer never visits. You are the legal custodian. The commercial risk is not knowing what you hold, where it sits, whether it is billed, and whether everything that went in comes back out.

Almost all published software in this category is built for the first.

What the self storage platforms do, and what they cost

Stora, built by Storat in Northern Ireland, is the leading UK self storage platform and one of very few in this market publishing pricing openly.

All tiers require a minimum of fifty units, and payment processing through Stripe or GoCardless is charged on top. It integrates with Xero and QuickBooks and with access control from Noke, BearBox, PTI, Paxton and OpenTech.

For a business renting units, it is a strong product and priced fairly. SiteLink and storEDGE, both owned by Storable, dominate among multi site chains but publish no transparent UK pricing. Storeganise and Storman also serve UK operators, again without published pricing.

None of them are built for containerised household goods. The architecture assumes a unit with a door and a tenant with access. Containerised storage has neither.

The question that changes everything

Here is the test. A customer rings in March and asks you to retrieve one box, the one with the christening photographs in it, out of eleven containers you have held for two years.

If the answer involves someone walking the warehouse with a clipboard, your storage operation is running on trust rather than record.

That single question separates storage software into two categories, and it is why removals platforms and self storage platforms are not substitutes.

What container and box level tracking actually requires

Containers as assets, not line items. A container needs its own identity, a movement log, a condition history and a lifecycle that ends when it is retired. Most systems record that a customer has goods in storage. Fewer record which container, and fewer still record where that container physically sits.

Boxes as records inside containers. Nesting matters. A box belongs to a container, a container belongs to a rack position, and a rack position belongs to a warehouse. Break the chain anywhere and the retrieval question above becomes a search.

A rack grid that reflects the building. Rows, positions and levels with live occupancy, so a warehouse is a map rather than a list. Database enforcement of one asset per slot, so phantom double occupancy cannot happen.

Permanent QR identity per box. Minted at first scan and bound to that box forever. The reconciliation flow is what makes it worth doing: mint, scan boxes into a container, seal the container against an immutable manifest, then scan back at the far end. What you get is not a tick, it is a sentence. Four expected, three scanned, box two missing. Against a sealed manifest that cannot be edited after the fact and is retained as evidence.

A box locator. Find every box belonging to a customer, by name, across the entire estate, without leaving the office.

Placement intelligence. Containers leaving soon at the front, indefinite storage in the middle, lapsed accounts buried at the back. Dwell based allocation surfaces stalled, unbilled stock, which in most warehouses is the largest single source of invisible lost revenue.

Billing that follows custody. The clock starts when goods arrive, not when someone remembers to raise an invoice. Daily proration off a frozen rate, so a mid month release does not need a manual credit note.

What it costs to get this wrong

Three costs, none of which appear on any invoice.

Unbilled stock. Containers sitting in the corner belonging to a customer who stopped paying eighteen months ago, still occupying a rack you could sell.

Retrieval time. An hour of warehouse labour to find one box, repeated across a year, is a full time cost with no revenue against it.

Claims you cannot defend. When a customer says an item went in and did not come out, you either have a sealed manifest and a scan record, or you have a conversation. The second one you lose.
